Equipment & storage management platform

ToolTrace

Built for Control.

ToolTrace helps companies track machines and equipment in and out of equipment storages — using NFC tags to identify each asset and ID06 cards to register exactly who borrowed and returned it. Inventory, loan history, and full accountability in one platform.

The problem & the fix

Most teams cannot answer the simplest question: where is that machine?

Equipment gets borrowed, moved, and lost — with no clear record of who had it or when it was last seen. ToolTrace closes that gap.

Without ToolTrace

What operations teams deal with every day

  • No way to know who borrowed a machine or when
  • Equipment goes missing with no one accountable
  • Manual lists are always out of date
  • Inventory takes too long and relies on memory
  • No record of machine condition over time
  • Hard to see what is actually inside each equipment storage

With ToolTrace

A structured, traceable alternative

  • Every loan linked to a named person via their ID06 card
  • NFC tags mean every machine is identified, every time
  • Borrowing and returns are registered automatically on the app
  • Inventory sessions scan the equipment storage and compare expected vs present
  • Photos at registration and return create a condition timeline
  • Web dashboard gives managers a clear, current overview

Platform capabilities

Everything the workflow actually needs

From first NFC scan to complete equipment history — built around how borrowing, returns, and inventory really work on site.

NFC machine identification

Each machine has a unique NFC tag. Scan it once during registration to connect it to the system. From then on, the system recognises the machine automatically whenever the tag is scanned.

ID06 borrower verification

Workers scan their ID06 card at the equipment storage app to identify themselves. Every borrow and return is linked to a real, named person — not a login account.

Borrowing & return tracking

Workers scan their ID06 card, then scan the machines they want to use. At end of day, they scan again to return them. Every movement is logged with person, time, and machine.

Inventory sessions

Start a session and walk around the equipment storage scanning the machines that are physically present. The system compares expected vs scanned and shows what is confirmed, missing, or unexpected.

Registration & return photos

A photo is taken when a machine is first registered and again when it is returned. This builds a condition timeline over time — useful for documentation, disputes, and follow-up.

Overdue & missing alerts

If a machine is not returned to its equipment storage after configured working hours, company admins are notified. After two days, the machine is flagged as potentially missing.

Equipment storage management

Organise machines by equipment storage. View the full expected contents, current status, and loan history of any storage unit — directly from the web platform.

Person management

Register the people who borrow equipment. Each person is tied to their ID06 identity, and their full borrow and return history is always available.

Role-based access

Company admins have full access to configure users, equipment storages, and settings. Staff access what is relevant to their work. Every role sees exactly what they need.

Machine condition history

The platform builds a visual timeline of each machine's condition using photos from registration and returns. Condition changes are traceable and documented over time.

Equipment overview

See all machines across all equipment storages in one place — their current status, who has them, and when they were last seen. Filterable and searchable.

Admin dashboard

Company admins get a summary view of all active loans, open inventory sessions, missing equipment, and recent activity across their company.

Web platform

Full visibility from the web dashboard

Admins and staff log in with email and password. Everything happening at the equipment storages — borrowing, returns, and inventory scans — is reflected here in real time.

How it works

The full workflow, step by step

From first registration to daily borrowing, returns, and inventory checks — here is how the platform is used in practice.

01

Register machines and attach NFC tags

Add each machine to the system and connect it to a physical NFC tag. Take a photo during registration. From this point on, the system recognises the machine every time the tag is scanned.

02

Worker scans ID06 and borrows machines

At the equipment storage app, the worker scans their ID06 card to identify themselves. They then scan the NFC tags of the machines they want to use for the day. The borrow is registered instantly.

03

Worker scans ID06 and returns machines

At the end of the day, the worker scans their ID06 again and scans each machine to return it. A photo can be taken at return. Every return is linked to the same person and logged with a timestamp.

04

Photos track condition over time

Registration and return photos create a condition history for each machine. Managers can see how a machine looked when it left and how it came back — useful for documentation and responsibility.

05

Inventory sessions confirm what is present

Start an inventory session for an equipment storage and walk around scanning the machines that are physically there. The system compares the expected contents against what was scanned and shows what is confirmed, missing, or unexpected.

The equipment storage app handles operational borrowing and returns. The web platform gives admins full visibility, history, and configuration.

User roles

Two ways to access the system

Admins and staff use the web platform with email login. Field workers use the equipment storage app with their ID06 card — no account needed.

Full control over the platform and company data

Company Admin

Company admins configure the platform for their company. They manage users, equipment storages, machines, and have full visibility across all loans, inventory sessions, and history. Admins log in via the web platform using email and password.

What this role can do

  • Dashboard with active loans and alerts
  • User management and permission control
  • Add and configure equipment storages
  • Register machines and connect NFC tags
  • View all loan and return history
  • Start and oversee inventory sessions
  • Configure working hours for overdue alerts
  • Full audit log access

Business outcomes

What changes when you implement structured tracking

Companies that replace manual lists with a structured system get better control, clearer accountability, and less time spent tracking down equipment. ToolTrace is built to deliver exactly that.

Inventory processManual, slowScan-based, structured
Condition trackingNot documentedPhoto timeline per machine

Clear responsibility

Every borrow and return is tied to a real person via ID06. No more "I thought someone else returned it." The record is always there.

Better visibility for managers

Admins see what is out, who has it, what is inside each equipment storage, and what has not come back — all from the web dashboard.

Machine condition traceability

Photos at registration and return create a timeline for each machine. Condition changes are documented and easy to follow up on.

Faster, more reliable inventory

Walk the equipment storage and scan what is there. The system does the comparison. No manual counting, no guesswork, no paper lists.

Proactive alerts

Admins are notified when machines are not returned after working hours, and again when something has been out for more than two days.

Traceable equipment history

Every machine has a complete log of who used it, when it was returned, and what condition it was in. Useful for follow-up and documentation.

Where it fits

Built for teams that share machines and equipment

Anywhere equipment is borrowed from equipment storages, shared between workers, and needs to be accounted for — ToolTrace gives you the structure to manage it properly.

Construction

Track drills, grinders, and other machines across equipment storages on site. Workers borrow with ID06 in the morning and return at end of day. Inventory sessions confirm what is inside each storage unit.

Field Service

Service technicians check out specialist tools from a shared equipment storage before heading to a job. Returns are scanned back in. Overdue alerts notify the manager if something does not come back.

Workshop & Storage

Manage shared workshop equipment across multiple equipment storages. Run inventory sessions regularly to confirm what is present, identify missing tools, and spot anything unexpected.

Fleet & Transport

Assign tools and on-board equipment to vehicles and drivers. Check-in and check-out is logged against the person via ID06. History shows what was in each vehicle and when.

Facilities Management

Manage shared maintenance tools and facility equipment. Every borrow is logged, every return confirmed. Condition photos at return help track wear over time.
